Grain Manager is in active beta. Built with growers in real harvests.

What it does

Seven jobs, done quietly.

Everything in Grain Manager exists because a lorry turned up, an assessor was due, or an invoice landed on our own farm. Here is what it does today, with the real screens.

01

The job you do most often.

A lorry turns up, and you need a passport. Grain Manager fills in what it already knows, the store, the crop, the variety, the haulier, the vehicle, the last three loads, and gives you a compliant Combinable Crops Passport to print in under a minute. Every one complete, every one consistent.

  • Pick the store. Crop, variety and harvest year follow.
  • Haulier, trailer and cleaning history carry through.
  • Mycotoxin and assurance details come from your records, not from memory.
  • Sign on screen, or print and sign with a pen. Add an optional mill copy page.

02

The audit that fills itself in.

Normally it's a ring binder, a shoebox of receipts and a long evening before the assessor arrives. Grain Manager turns the Red Tractor Combinable Crops standard into a checklist that completes itself from the work you're already doing: store inspections, moisture meter calibration, vermin rounds, training, sprayer tests. Logged once, filed, with review dates so nothing quietly expires.

  • Around 70 standard points, each in plain English with its reference code.
  • Certificates, documents and risk assessments in one place.
  • Inspection mode for the day the assessor walks the stores.
  • Evidence can be viewed anywhere and even printed.
  • Keep some things on paper if you want. Each item can be tracked in the app or ticked off.

03

What's in the shed, and its value.

Stores and crop lots mirror your yard. See what came in off the combine, what is physically left, and what is still to sell, crop by crop, variety by variety. When the wheat overflows the main shed into the old dairy, link the two stores and they sell as one lot. Monthly readings run through the AHDB safe-storage model, so you know the wheat has weeks of safe life left rather than finding out at out-loading.

  • Left to sell per crop, with over-commitment warnings.
  • Linked stores contract, sell and report as one crop. Each shed keeps its own tonnes, readings and traceability, and a contract across two sheds is counted once, not twice.
  • Move or mix grain between stores with the maths done.
  • Safe-storage days remaining on the dashboard.
  • Harvest seasons, not calendar years, and a UK variety directory from the AHDB Recommended List and PGRO, plus your own.

04

Sold, moved, paid.

Contracts live against the crop they're sold from, including pools and pledges with a drawdown bar. As loads deliver, each contract fills up. When the self-billing invoice arrives, settlement matches it to the actual loads, prices them, and marks them paid. You always know what's sold, what's moved, what's been paid, and what's still uncommitted if the market moves.

  • Firm contracts, and pledge or pool folders. Fixed, min and max, or base plus premium price lines.
  • Settle self-billing invoices against real loads, with claims and deductions recorded.
  • Estimated value at the gate, actual value once invoiced.
  • Catch-up for tonnage moved before you started, without back-filling passports.
  • Sale prices only visible to people with sales permission.

05

Works where the grain is.

Got poor or no signal? No problem. Grain Manager installs on your phone like an app, works offline, and syncs when you're back in range. Multiple loaders on multiple sites can all print, and ticket numbers never collide.

  • Add to home screen on iPhone, Android and desktop. It opens full screen.
  • Create passports with no signal. They queue and sync, and nothing is lost.
  • Sync status at a glance, with a review screen if two devices disagree.
  • Phone-first layout, light and dark themes.

06

Built for farmers, by a farmer.

Give the loader driver the passport screen and nothing else. Give the office the ledger and settlement. Keep sale prices to the people who should see them. Invite staff by email, and let someone who works on three farms use one login. Your data exports as CSV whenever you want it.

  • Manager, Operator and Loader presets, or a custom permissions matrix.
  • Reports: crop availability, sale value, harvest on harvest, movements by destination and month, year-end stock. Printable.
  • Anonymised price benchmarking, opt in, never identifiable.
  • Passkey sign-in, 30-day sessions, export any time.
  • A founder who answers.

07

Farming more than one business?

Contract farming a neighbour's land. A partnership alongside the home farm. Looking after the estate's arable as well as your own. One Grain Manager login covers all of them. A farm menu in the header switches between businesses, the dashboard adds up loads and tonnes across every farm you belong to, and each business keeps its own records, roles and subscription.

  • One sign-in for every farm you work on, whether you own it or work for it.
  • All farms totals on the dashboard, with each farm listed under the number and a one-tap switch to the right farm.
  • A manager invites you by email or your User UID, or you ask to join with the farm's Business UID. Invitations pop up when you sign in.
  • Separate records, seats and permissions for each business. What you can see on one farm says nothing about another.

What it does not do

It won't do the job for you.

But it will make it easier.

It won't sweep the shed, load the lorry or sell the grain. It won't do your accounts, and it won't argue with the assessor. What it will do is tell you what is left to sell and what the invoice should come to, have passports printed in a flash and show the assessor you are seriously on top of your game.

Giving you more time to get on with running your business.

Grain Manager is new, and we want it to be one of the most useful tools on your farm. We're a small team, no sales department, no chatbot, and the people who build it are the people who reply. If you'd like a hand bringing your records across, email us and we'll do all we can to help.
